Guide for solopreneurs
Lead source tracking: how to know which post brought each lead
Lead source tracking means recording where each lead came from: which post, ad, video or message. To do it, give every place you share your link its own tagged link (UTM tags), have your page save those tags with each enquiry, and read the source next to the lead's name. Then post more of what brings buyers.

What is lead source tracking?
Lead source tracking is writing down, for every lead, where they came from: the Instagram reel, the WhatsApp status, the YouTube video, the ad or the email that made them enquire. The lead source is that place.
Two words help:
- Source: the place, such as
instagram, youtubeorwhatsapp. - Content: the exact post, such as
prices-storyorwedding-day-reel. When you post in many places on one platform, this is the part that tells you which post worked.
Knowing "Instagram brings leads" isn't enough when you post on Instagram every day. Lead source tracking is useful when it can name the post.
What are the ways to track which post brought a lead?
There are three common ways. Most one-person businesses end up using the first two together.
| Ask on the form | A tagged link per post (UTM) | Google Analytics alone | |
|---|---|---|---|
| How it works | A "How did you hear about us?" question | Each post gets its own link; the tags travel with the visit | Reports traffic by source |
| Tells you the exact post | Only if they remember | Yes | Only in totals |
| Next to the lead's name | Yes | Yes, if your page or tool saves it | No |
| Weak spot | People guess, skip it or pick the first option | Someone who types your address in has no tags | Leaves out who the lead is |
Google Analytics shows which sources bring visits and sign-ups in total, but Google's policies say not to send it personal details such as email addresses or mobile numbers, so it can't tell you that Divya came from your prices story. For that, the source has to be saved with the enquiry itself.
The form question is still worth keeping as one optional field. It catches word of mouth, which no link can.
How do you give every post its own link?
- List the places you post this month: your Instagram bio, each reel or story that asks people to enquire, your YouTube descriptions, WhatsApp status and broadcasts, your Google Business Profile, any ad.
- Make one link for each place, with the same page address and different tags. For example
?utm_source=instagram&utm_medium=social&utm_content=prices-story. Use lowercase and short names, and keep a list so you name things the same way each time. - Put each link only in its place. If the same link is in your bio and your story, you can't tell them apart later.
Make a tagged link in a few seconds with the free UTM builder, no sign-up needed. Long tagged links look messy in a WhatsApp message, so a short link per place is easier: in ownyourclick, open UTM Links, press New UTM link, then on Manage links press + Add a source for each place. Each source is its own short link, with its own QR code for print. The UTM links tutorial shows it from start to finish.
Posting somewhere you didn't plan for? Add ?utm_source=anything to the link and those clicks show under that name.
How do you see each lead's source in Google Sheets?
The tags only help if they're saved with the enquiry. With ownyourclick, you add one script line to your landing page (Pages → Add page, then the tracking code), and every form fill becomes a row in your own Google Sheet with:
- Source and UTM content, UTM campaign, medium and term: the link they came through.
- First source: where they first came from, when they visited more than once. A lead can find you on YouTube and enquire days later from your Instagram bio.
- HOT %: how engaged they were on your page, so you see which posts bring people who read, not just people who tap.
You can also add a source for each place you post straight from the page: + Instagram, + YouTube, + WhatsApp and the rest, up to 30 sources per page. No landing page? Create Form gives you a form with its own link, and its leads show the source they came through too.

What do you do once you know which post brought each lead?
Look once a week, for fifteen minutes, and ask two questions of each post:
- Did it bring leads, or just clicks? A reel can get many taps and no enquiries. In the example above, the wedding-day reel brought the most leads, but the prices story brought more hot ones.
- Did its leads become customers? Mark each lead's Status in your sheet as you go (for example New Lead → Follow Up → Booked; you choose the list). After a month, sort by source and count the booked ones.
Then post more of what brings buyers and less of what only brings attention. A post works when it speaks to the moment someone is in, such as "only three dates left in February" for a couple who has just fixed their date. The source tells you which of those moments your audience is in.
It also changes the call. Someone who came from your prices post already knows what you charge; someone from your bio may not know what you sell yet. Open the call with what they've already seen. The guide on how to identify hot leads covers who to call first.
What can't lead source tracking tell you?
Be clear about the gaps:
- Typed-in visits and word of mouth. Someone who saw your post, then typed your address or searched your name, arrives without tags and shows as direct. Keep the optional "How did you hear about us?" question for these.
- Facebook and Instagram instant forms (lead ads that stay inside Facebook) aren't captured by ownyourclick. It works for posts and ads that send people to your landing page or form. For ads, see Facebook ads lead tracking.
- Cost per lead. ownyourclick doesn't import ad spend, so put your spend next to the source counts in your sheet to work it out.
- Old links. A link you used before you started tagging has no tags. Start now; the numbers build from today.
Do you need a CRM for lead source tracking?
No. A Google Sheet with a source column is enough to start, and ownyourclick fills that column for you; see Google Sheets as a CRM. If you already use a CRM, keep it. ownyourclick works alongside it: pass each lead with its source on through the API on Team and Agency, or, for a UTM link's leads, a webhook such as Zapier or Make.
What ownyourclick doesn't do: it has no dialer and no call recording, and it doesn't assign leads to a team.
Questions
What do people ask?
What is lead source tracking?+
It's recording where each lead came from: which post, ad, video or message made them enquire. You usually do it with a tagged link (UTM tags) for each place you share, saved with the lead's enquiry.
How do I know which Instagram post brought a lead?+
Give each post or story its own link with a different utm_content tag, such as prices-story, and put it only in that post. When your page saves the tags with each enquiry, the lead's row shows the post.
Is asking "How did you hear about us?" enough?+
Not on its own. People forget, guess or skip it, and it rarely names the exact post. Keep it as an optional field for word of mouth, and use a tagged link per post for the rest.
Can Google Analytics show which post brought each lead?+
It shows which sources bring visits and conversions in total. Google's policies say not to send it personal details such as emails or mobile numbers, so it can't show the source next to a named lead.
What is the difference between source and first source?+
In ownyourclick, Source is the link a lead came through when they enquired. First source is where they first came from, if they visited more than once, such as a YouTube video before an Instagram story.
Can I track leads from WhatsApp?+
Yes, when the WhatsApp message or status has a link to your page or form. Give it its own source, such as utm_source=whatsapp, and leads who tap it show WhatsApp as their source.
Is lead source tracking free?+
Tagging links is free: the ownyourclick UTM builder makes tagged links with no sign-up. Saving each lead's source in your Google Sheet automatically is part of ownyourclick, which starts with a 7-day free trial, no card.
